Booking Term and Conditions

Dear Customers,

Please review this, as it may fulfil our agreement: Hoang Nam Travel’s standard terms and conditions apply, with the possibility of mutual adjustments to best accommodate both parties before the tour begins.

1. Payment Policy
To ensure the best preparation for your trip, Hoang Nam International Travel applies the following payment structures:

♦ For FITs Small Group (1-10 guests)
- Deposit: A non-refundable deposit of 70% of the total tour fare is required upon booking confirmation.  
- Final Payment: The remaining 30% must be paid prior to the tour start date.

Cancellations must be submitted in writing via email or WhatsApp. The following charges apply:  

4. Liability & Insurance
- Intermediary Role: We act as an intermediary to arrange services such as transportation, meals, and tickets provided by third-party vendors.  
- Liability Waiver: Hoang Nam International Travel shall not be held responsible for any loss, injury, damage, or accidents caused by third-party providers or unforeseen circumstances (weather, traffic, etc.).  
- Travel insurance: Please note that travel insurance is NOT included in our tour prices. Guests are mandatory required to have their own comprehensive travel insurance before participating in the tour.  

5. Airfare Cancellation: this fees, if applicable, are subject to the airline’s own regulations and conditions and are not included in the above cancellation charges.

6. Amendments: A fee of $100 may apply to any change made to your booking once confirmed.

7. Refunds: No refund is available if cancellations occur after the tour has commenced or in respect of any tours, accommodation, meals or any other services not utilised, in accordance with the regular cancellation policy.

8. Itinerary Changes & Tour Cancellation
Hoang Nam Travel may adjust itineraries, reschedule, or cancel tour departures when required due to operational reasons or circumstances beyond our control. In such cases, guests will be informed in advance whenever possible, together with a clear explanation.

Hotels listed are for reference only and are subject to availability unless otherwise stated. Where changes are necessary, Hoang Nam Travel will make every effort to maintain the planned destinations and provide accommodation of a similar or equivalent standard.

Coach usage is subject to local driver regulations and road conditions.

9. Child Pricing: 
- Children under 5 years old: Free of charge (sharing bed with parents). 
Airfare for children under 5 may vary according to airline policy.
- Children aged 5 to 10 years inclusive: Charged 80% of adult rate (with separate bed and included meals).
- Children 11 years and older: Charged full adult rate.

10. Baggage Allowance & Porterage: Porterage of one suitcase per person is included in the tour price for arrival & departure from hotels in Vietnam. Due to limited coach capacity the sum of the length, width & depth of the case should not exceed 160cm (63 inches), and weight should not exceed 20kg (44 Lbs). Charges may be levied in the event these limits are exceeded & the promise to transport you may be invalidated.

11. What's Not Included: Passports and applicable visa fees, laundry, phone calls, items of a personal nature, beverages, meals and sightseeing not detailed on the itinerary, tips and gratuities to the Tour Director, coaches drivers and local guides, excess baggage, optional excursions and travel insurance. Please note that travel insurance is strongly recommended and is compulsory under Vietnamese tourism law. Please see your Travel Agent for further details.
 

12. Documentation: Will be sent out approximately 3 weeks prior to departure

Dislaimer: In case of sudden price increases or surcharges levied by suppliers such as, but not limited to, fuel surcharges, government tax increases or other unforeseen price increases, Sing Australia and Travlust reserves the right to alter the price quoted in this document or the conditions mentioned. Travelust also reserves the right to change any arrangement (including tours, programs, prices and services) in the best interest of its Client, with or without prior notice.

14. Booking Terms and Conditions: These conditions incorporate the basis upon which bookings are accepted Hoang Nam Travel in Dien Bien. By making a booking you are agreeing to these terms & conditions. These must be studied prior to making the commitment of paying the deposit as they must be referred to. Additional terms and conditions may be applicable to group bookings and will be advised as they become applicable.

15. Passports: All travellers require a current passport with at least 6 months left on it at the end of the tour.

16. Force Majeure Cases:
Customers aged 70 to under 75 years old are required to sign a health commitment with the Company. Customers aged 75 and over are required to have a full health certificate for traveling abroad issued by a doctor + a health commitment form with the Company. A relative under 60 years of age (in good health) must accompany. In addition, customers over 75 are encouraged to pay for additional premium insurance (fees vary depending on the tour). We do not accept guests from 80 years old and above.

Pregnant guests, please inform the tour sales staff at the time of booking for further information. We do not accept pregnant women from 5 months onwards for safety reasons.

Children not accompanied by their parents, require authorization from their parents and confirmation from the Ward/Commune where their permanent residence is registered.

Customers who want to issue a red invoice, please inform the consultant when booking the tour. At the latest 7 days after the end of the tour.

The program and hotels may change the order to suit the actual situation of the group. Check-in time at the hotel: after 14:00 and check-out before 12:00

In the case of force majeure due to weather, natural disasters, riots, war, epidemics, flight delays or cancellations due to weather or technical reasons..., the tour cannot be continued, Hoang Nam travel will refund the tour fee to customers after deducting the service costs already performed and will not be responsible for compensating any other costs.

17. Disclosure of Fees or Commissions Received From Third Party: Hoang Nam Travel in Dien Bien may receive fees, commissions, gifts or financial incentives from third parties under this Terms & Conditions.
